JOB DESCRIPTION
We are seeking a proactive and organized UAE National Administrative Assistant to support the day-to-day operations of our business.
This opportunity is open to fresh graduates and experienced professionals with up to 10 years of experience who are looking to build a rewarding career within the Oil & Gas and Energy sector.
The role would be based in Sharjah, UAE. This recruitment activity supports the organization's Emiratization objectives and commitment to hiring UAE Nationals.
The successful candidate will provide administrative, clerical, and coordination support to ensure efficient office operations, effective communication, and smooth execution of departmental activities.
For Graduate and Junior Candidates (0-2 Years)
QUALIFICATIONS- Provide general administrative support to the department and management team.
- Handle incoming correspondence, emails, and telephone inquiries.
- Maintain and organize electronic and hard-copy filing systems.
- Schedule meetings, prepare agendas, and coordinate meeting logistics.
- Prepare routine reports, presentations, and documents.
- Assist in travel arrangements, accommodation bookings, and expense tracking.
- Coordinate office supplies and administrative inventories.
- Support onboarding activities for new employees.
- Ensure confidentiality of company information and records.
- Perform other administrative duties as assigned.
- Manage calendars, meetings, and travel arrangements for senior management.
- Coordinate departmental communications and stakeholder interactions.
- Prepare reports, presentations, meeting minutes, and business correspondence.
- Support project documentation, document control, and records management activities.
- Monitor administrative processes and recommend efficiency improvements.
- Coordinate with internal departments, clients, contractors, and external vendors.
- Track department budgets, invoices, and procurement requests where applicable.
- Assist with event planning, workshops, and corporate activities.
- Ensure compliance with company policies and document management procedures.
- Provide guidance and support to junior administrative staff when required.
Fresh Graduates (0-2 Years)
- Diploma or Bachelor's Degree in:
- Internship or administrative experience is an advantage.
Experienced Candidates (3-10 Years)
- Diploma or Bachelor's Degree in a relevant field.
- 3-10 years of administrative, office coordination, executive support, or related experience.
- Experience within Oil & Gas, EPC, Energy, Engineering, Construction, or Corporate environments is preferred
- Strong verbal and written communication skills.
