Overview Of The Role:
The Store Admin & HR Executive plays a critical role in supporting HR business partners and ensuring the seamless administration and management of human resources within the IKEA store. This role involves direct interaction with new joiners, providing induction and onboarding support, and serving as a point of contact for HR-related inquiries. The position is instrumental in maintaining effective HR processes, supporting store management in operational tasks, and fostering employee engagement through organized events. The executive is responsible for accurate record-keeping, compliance with labor laws, and the coordination of outsourced employment contracts. Success in this role is marked by efficient administrative support and a proactive approach to HR challenges, contributing to an engaging and compliant work environment.
What You Will Do:
Induction and Onboarding
Meet and greet new joiners on their first day, ensure they have their induction pack prepared, and provide them with necessary joining administration such as badges, uniforms, locker keys, and access cards.
Work closely with HRSS team to ensure new joiners' user and email accounts are created and communicated to their line managers.
HR Support and Communication
Communicate store policies, procedures, and internal announcements as needed.
Respond to employees' queries on various HR matters, with support from store HRBP.
Report work needs, challenges, and recommendations to HRBP to facilitate decision-making processes.
Assist line managers in understanding and implementing HR policies and procedures.
Coordinate travel/hotel arrangements for new and existing employees requiring emergency leave.
Support smooth operation of store departments, maintaining records for disciplinary meetings and event documentation.
Administration and Reporting
Consolidate payroll and leaves reports monthly by reviewing store exceptions daily.
Maintain records of attendance levels, overtime, turnover rates, sick leaves, recruitment tracker, nationality mix, and holidays.
Collate PowerPoint presentations for general meetings, take notes, and circulate them.
Ensure all store stationery/supplies are reviewed regularly and adequately stocked.
Negotiate prices with vendors and obtain quotations for office supplies.
Produce relevant KPI reports to help steer the business and maintain control.
Engagement and Events
Work closely with HRBP on employee engagement activities and organize social events such as the annual party.
Develop effective working relationships with Al-Futtaim HR teams and store management to ensure business continuity.
Compliance and Audits
Ensure in-store office documents are archived properly for easy retrieval.
Support department managers in preparing for audits and respond to auditors' queries and requirements.
Follow up on probationary reviews and contract renewals to ensure timely completion and proper filing.
Required Skills To Be Successful:
Excellent organizational and planning skills.
Strong interpersonal and communication abilities.
Proficiency with MS Office software.
Understanding of labor laws and HR policies.
What Qualifies You For The Role:
High School or Trade School Graduate with a Bachelor's degree in business administration preferred.
3 to 4 years of experience in a similar role, ideally as an HR Generalist.
Excellent communication and interpersonal skills with a good command of the English language.
Proficient in MS Office applications and familiar with SAP preferred. Knowledge of country labor laws is a plus.
