JOB DESCRIPTION
Key TasksWarehouse Coordination
-MEA- Act as the main coordination point for assigned 3PL customers, ensuring their daily warehouse requirements are understood, communicated, and executed on time.
- Coordinate with the warehouse floor team for inbound receiving, put-away, stock movement, picking, packing, dispatch, returns, and any customer-specific handling requirements.
- Manage WMS system activities, including order creation, receiving updates, stock adjustments, picking confirmation, dispatch confirmation, inventory movements, and system accuracy checks.
- Prepare and share daily operational reports, inbound/outbound reports, handling reports, stock movement reports, customer updates, and internal performance summaries.
- Support billing activities by validating handling charges, storage charges, value-added services, transport-related charges (where applicable), and customer billing data before submission.
- Coordinate internally with warehouse supervisors, operations teams, customer service, finance, transport, inventory, procurement, and management to close daily operational requirements.
- Monitor customer service levels, pending orders, open issues, stock discrepancies, and operational delays, and escalate matters where support or management decisions are required.
- Maintain all warehouse HSE documentation, including inspection records, safety meeting minutes, training records, toolbox talk records, risk assessments, incident reports, and corrective action trackers.
- Conduct regular warehouse HSE inspections, safety observations, housekeeping checks, PPE compliance checks, equipment safety checks, and emergency readiness checks.
- Organize and participate in HSE meetings, toolbox talks, safety briefings, site surveys, risk reviews, and operational safety discussions with warehouse teams and safety officers.
- Coordinate with Safety Officers, HSSEQ teams, and warehouse supervisors to identify hazards, report unsafe conditions, agree on corrective actions, and follow up until closure.
- Support incident, near-miss, and hazard reporting by collecting information, preparing reports, maintaining records, and supporting root cause analysis and corrective action follow-up.
- Ensure warehouse HSE requirements are followed for storage, material handling, forklift movement, pedestrian safety, racking safety, chemical storage (where applicable), emergency exits, and housekeeping.
- Support customer audits, internal audits, compliance reviews, and HSE performance reporting by ensuring required documents, records, and action trackers are updated and available.
- Promote a safe working culture by encouraging hazard reporting, supporting awareness sessions, and ensuring operational teams understand and follow warehouse safety requirements.
- Bachelor's Degree or equivalent experience/qualification.
- More than 2 years of relevant experience.
- Experience in warehouse coordination, preferably within a 3PL environment.
- Good knowledge of WMS usage and inventory management processes.
- Understanding of inbound and outbound warehouse operations.
- Experience in customer coordination, billing support, reporting, and internal stakeholder management.
- Practical understanding of warehouse HSE requirements, including documentation control, toolbox talks, safety inspections, incident and near-miss reporting, hazard identification, PPE compliance, housekeeping, emergency readiness, and corrective action follow-up.
- HSE certification, First Aid training, Fire Safety training, or Chemical Handling Awareness certification will be an added advantage.
